Virtual Meetings

Because of the COVID-19 pandemic and the long-term social distancing efforts necessary during this state of emergency, MetroPlan Orlando is now holding virtual meetings. Our goal is to ensure transportation planning continues uninterrupted by creating an open, transparent process for virtual meetings that encourages productive discussion among board and committee members. We want the public to continue participating and having a voice in the planning process during these uncertain times.

Getting Set Up for Virtual Meetings

We’ve created step-by-step instructions on how to get set up for our virtual meetings, which are being held on the Zoom webinar platform. The instructions are slightly different for members of our board and committees versus members of the public, so please make sure you’re referring to the right set of instructions for you in the below PDFs.

Once you’ve completed your set-up, then you can decide which virtual meeting you’d like to join. The public viewing Zoom link for each meeting is located inside the individual event listing in the calendar section of our website and directly on the agenda. Board and committee members will receive personalized links to join meetings via email.

Meeting Roles & How to Make a Public Comment

Board and committee members are active participants in the virtual meetings and take part in discussions. Members of the public are welcome to attend as observers and can make a public comment at specific places in the agenda (please refer to the meeting agenda for details). You can make a public comment during the meeting or you can submit comments ahead of time to comment@metroplanorlando.org or by leaving a voicemail at 407-906-2347 by noon the day prior to the meeting. Comments will be read or summarized at the meeting and included in the official meeting record. Please follow the detailed instructions on how to comment in this document:

MetroPlan Orlando encourages courteous, civil discourse in online settings. Persons making live public comments are asked to maintain the same level of decorum as they would at a traditional public meeting. Our public comment procedures below outline our rules of engagement and also discuss how comments will be documented.

YouTube Simulcast

If you don’t want to use the Zoom platform, you can watch the simulcast of the meeting on MetroPlan Orlando’s YouTube channel. Please note, there is no way to make a live public comment during the meeting if you’re watching on YouTube. You can, however, submit a comment before the meeting. Video of previous meetings will be available on our YouTube channel as well.

Complying with Sunshine Law

Florida’s Sunshine Law typically requires a quorum to be physically present in a room in order to hold a government meeting. However, Florida Governor Ron DeSantis suspended this requirement in Executive Order 20-69 issued on March 20, 2020, allowing MetroPlan Orlando and other government organizations to continue doing business using remote meetings. This order has been extended through early July. Other Sunshine Law requirements still apply, and MetroPlan Orlando is acting to ensure these requirements are followed.
